1. Scope
This Privacy Policy describes how SiteRelay collects, uses, stores, and protects personal information gathered through:
- The reseller/partner application form (used by individuals applying to become a SiteRelay reseller); and
- Client intake forms (used to collect information from local service-business owners who engage a reseller for a SiteRelay website/Digital Business Twin package).
This Policy applies to SiteRelay's own collection and processing of this information. It does not govern the independent privacy practices of individual resellers, who are independent contractors (see the Reseller Agreement) and who may separately collect information from their own clients.
2. Information We Collect
Depending on the form submitted, we may collect:
- Identity/contact information: full name, email address, phone number, mailing address.
- Business information: business name, business type/industry, business address, website (if any), hours of operation, services offered, staff/contact names designated by the business, and similar operational details needed to build a website or Digital Business Twin.
- Application information (resellers): background/experience information voluntarily provided in the reseller application, referral source, and any materials submitted in support of the application.
- Communications: messages sent to us via email, forms, or (if applicable) chat/support channels.
- Technical information: IP address, browser type, device information, and form-submission metadata (e.g., timestamp), collected automatically by our form host and analytics providers.
We do not knowingly collect Social Security numbers, government ID numbers, payment card numbers, or other sensitive financial account credentials through these forms. If any such data is inadvertently submitted, it will be deleted upon discovery except where retention is required by law.
3. How We Use Information
We use collected information to:
- Evaluate reseller applications and communicate with applicants;
- Build, configure, and deliver the client's website / Digital Business Twin and related deliverables;
- Provide customer support and respond to inquiries;
- Send transactional and service-related communications (e.g., confirmations, onboarding steps, invoices);
- Maintain business records, including for accounting, tax, and legal-compliance purposes;
- Improve our forms, templates, and internal processes;
- Detect, investigate, and prevent fraud, abuse, or violations of our terms.
We do not sell personal information to third parties.
4. Storage and Retention
- Form submissions are stored using our form host / intake tooling and, where applicable, internal business records systems.
- We retain application and intake data for as long as reasonably necessary to fulfill the purposes above, satisfy legal, accounting, or reporting obligations, and resolve disputes, after which it is deleted or anonymized.

5. Third Parties
We may share information with service providers who help us operate, including:
- Form/intake hosting provider (e.g., the platform used to collect and store application and intake submissions);
- Notification/communication tools (e.g., email delivery services) used to notify our team or the applicant/client of a submission;
- Hosting/analytics providers for our own forms and intake pages (and, on SiteRelay's separate self-serve tier, the simple static sites SiteRelay hosts); on the reseller/premium line the Client's website runs on the Client's own hosting account, whose provider's data practices are governed by the Client's arrangement with that host, not by this Policy;
- Professional advisors (legal, accounting) on a confidential basis;
- Law enforcement or regulators where required by law.

We require service providers who process personal information on our behalf to protect it consistent with this Policy and applicable law.
6. Your Rights and Choices
Depending on your location, you may have rights to:

- Request a copy of your information in a portable format.

Our forms are intended for business owners, prospective resellers, and other adults acting in a business capacity. We do not knowingly collect personal information from children under 13 (or the relevant age of digital consent in your jurisdiction).

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Changes to This Policy
We may update this Policy from time to time. Material changes will be reflected by an updated Effective Date above. Continued submission of forms after changes take effect constitutes acceptance of the updated Policy.
